Most planning tools are designed for predictable days. Reality is different. For consultants and service businesses, meetings move, clients reschedule, priorities shift, and new work arrives constantly. Every interruption forces another round of decisions. What should I work on next? What fits into the next 45 minutes? What needs to move? Traditional task managers store work but leave users to make these decisions themselves. The result is decision fatigue, context switching, and lost productivity. Valuable pockets of time are wasted simply deciding how to use them. Our challenge was to build a planning system that reduced cognitive load by removing the need to continually replan.

Rather than building another to-do list, we reimagined planning as an optimisation problem. Via combines intelligent task capture, multi-factor prioritisation, and AI-powered scheduling into a single adaptive planning system. Users begin with a simple brain dump using typed notes, voice recordings, or even handwritten pages. AI transforms unstructured information into organised tasks, estimates priorities, and builds a realistic schedule around the user's calendar and available time. As meetings move, deadlines change, or new work arrives, the scheduling engine automatically rebuilds the plan. Every available window is used effectively while the user remains completely in control. Supporting features such as integrated notes, time estimation, work categories, dependency management, and calendar synchronisation create a unified workspace that minimises context switching and removes the need to manage information across multiple disconnected tools. The result is a planner that continuously adapts to reality instead of becoming outdated the moment plans change.

Via began with a simple question.

Why do so many people abandon planning systems?

After years of trying notebooks, task managers, calendars, and productivity apps, we realised the problem wasn't remembering what needed to be done. It was constantly deciding what to do next.

That insight changed everything.

Rather than building another to-do list, we designed a system that performs the planning for you. AI handles the repetitive work of prioritising, scheduling, and adapting the plan as your day evolves, allowing users to focus on the work that actually matters.

We launched Via in May, and it quickly gained traction with professionals managing complex, fast-changing workloads. Today, the platform serves customers in 35 countries, supports six languages, and has evolved from an AI planning assistant into a collaborative planning platform used by both individuals and growing businesses.

One of the most valuable insights came from our customers. As adoption grew, owner-operators began asking for the same intelligent planning experience for their teams. That demand shaped the next phase of the product, leading to the development of team functionality and expanding Via from a personal productivity tool into a scalable platform for collaborative work.
